Facilities Performance Indicators (FPI)

APPA’s Facilities Performance Indicators (FPI) program provides a rich dataset for institutions to benchmark their facilities data, performance, and spending across their peers. APPA has been collecting data via the FPI program for decades, making it a valuable resource for our members.

Each year, APPA members submit data to compare their latest data with recent data from others. Once data is collected for a given year, participants are provided with detailed benchmarking information.

Annual FPI Benchmarking Process

The annual FPI data collection and reporting process is:

• Data collected from participating educational facilities: August-Early December for the completed fiscal year
• Data reviewed by APPA staff and outliers identified: December-Early January
• Participants contacted regarding outliers to either correct data or note circumstances surrounding values: January-February
• Full report available: by May 1

FPI Reporting Data Availability

APPA curates the submitted facility management data and publishes a detailed FPI report for each year. Reporting data is categorized and made available across multiple facets including region, Carnegie Classification, enrollment, energy sources, grounds/custodial/maintenance levels, and more.

APPA Members are eligible for access to the FPI annual report based on their membership type and participation as listed below. Organizations that purchase an FPI annual report may grant access to up to five people within their organization (based on myAPPA login). Organizations participating in the FPI survey will have access to the current FPI data as well as data from prior years. Non-participating organizations will be granted access to the current FPI report only.

• Participating APPA Institutional Members — access to the non-anonymized report including data from prior years at no cost
• Non-Participating APPA Institutional Members — access to an anonymized version of the report (one-year data) for $2,000
• Participating non-APPA Members — access to the non-anonymized report including data from prior years for $2,000
• Business Partners — access to an anonymized version of the report (one-year data) for:
  • Bronze-Level Business Partner: $10,000
  • Silver-Level Business Partner: $9,000 (10% discount)
  • Gold-Level Business Partner: $8,500 (15% discount)
  • Platinum-Level Business Partner: $8,000 (20% discount)

2025 FPI Data Process

Submit to the 2024–25 FPI Survey

The latest Facilities Performance Indicators (FPI) Survey is now open, and your institution’s participation is vital in shaping the collective understanding of educational facilities nationwide.

Submission Deadline: Friday, December 5, 2025 at Midnight EST

All materials—including the full and express survey PDFs—and the submission portal are available on our member landing page.

The data collection period for the 2025 FPI report will begin on August 1, 2025. Survey participants will be given access to APPA’s FPI survey collection website/tool. Look for communications from the APPA team in August as we begin the data collection process.
