APPA's Event Policy

APPA Events

APPA events are designed to help educational facilities leaders learn, connect, and share best practices. The information below outlines our current cancellation terms, a simple photography/recording notice for in-person participation, and how to reach us with questions.

Cancellations and Transfers

  • How to cancel: Email your request to professionaldevelopment@appa.org.
  • Refunds: Cancellations received at least 30 days before the event start date receive a full refund of the registration fee.
  • After the 30-day deadline: Registrations are not refundable and cannot be deferred to a later event. You may transfer your registration to another person within the same organization for the same event; please email professionaldevelopment@appa.org to arrange the transfer.
  • Travel and lodging: APPA is not responsible for any travel or lodging costs.

Event Changes

If APPA modifies the format, dates, or agenda for any reason, we’ll notify registrants promptly and outline available options. APPA is not responsible for any related travel or lodging costs you may incur.

In-person Media Notice (photos, video, and audio)

When you attend an APPA event in person, you’re entering an environment where photography, video, and audio recording may occur for APPA’s educational and promotional purposes (for example: websites, social channels, newsletters, and future event materials).

By participating, you acknowledge and permit APPA to capture and use imagery or audio of general event activity that may include you. We aim to be respectful and practical:

  • If you prefer not to be photographed or recorded, please let us know at the registration desk. We will offer a clearly visible “no-photos please” indicator and ask our photographers to avoid focused shots of anyone displaying it.
  • If you see an image of yourself on an APPA channel that you’d like removed, contact marketing@appa.org with the link or details, and we’ll review and respond.
  • Speakers and session leads may be recorded for on-demand learning. We avoid close-up, identifying shots of attendees who have opted out.

Attendee Recording Guidelines

To protect speakers’ content and other participants’ privacy, please do not record, photograph, or livestream sessions without express permission from APPA and the presenter(s).

Accessibility and Accommodations

If you need a reasonable accommodation to fully participate, please email professionaldevelopment@appa.org as early as possible so we can plan accordingly.
